Ruby Cleaners is committed to providing professional cleaning services delivered in a safe and responsible manner. This Health and Safety Policy explains how we protect our employees, clients, visitors and members of the public while carrying out cleaning activities in homes, offices and other premises. Our goal is to prevent accidents, injuries and ill health through effective planning, supervision and continuous improvement.
Management Responsibility and Commitment
The management of Ruby Cleaners accepts overall responsibility for health and safety within the company. We will provide the resources, information and support required to maintain safe working conditions and to promote a positive health and safety culture at every level of the organisation. Health and safety considerations are integrated into our everyday decision making, including when we select equipment, products and working methods.
Supervisors and team leaders are responsible for implementing this policy on site, monitoring compliance and addressing any safety concerns promptly. All employees are expected to cooperate fully with health and safety arrangements and to take reasonable care of their own safety and that of others who may be affected by their work.
Legal Compliance and Continuous Improvement
Ruby Cleaners complies with relevant health and safety legislation, regulations and approved codes of practice applicable to cleaning operations. We review this policy regularly to ensure it remains up to date with current requirements and industry standards. Any significant changes in legislation, work practices or equipment will trigger an immediate review and update where necessary.

Risk Assessment and Safe Working Procedures
Before work begins at a client site, we assess the risks associated with the cleaning tasks to be performed. Risk assessments consider factors such as slips and trips, manual handling, working at height for tasks like internal window cleaning, use of electrical equipment, exposure to cleaning chemicals and security arrangements for lone working.
Findings from risk assessments are used to develop clear safe working procedures. These procedures are briefed to staff and are reviewed when there are changes in the work environment, new equipment is introduced or incidents occur that highlight additional risks. Employees must follow these procedures at all times and report anything that makes them difficult or unsafe to follow in practice.
Chemical Safety and COSHH
Cleaning products are managed to minimise risk to health and the environment. We only use chemicals that are suitable for professional cleaning and are used in accordance with manufacturer instructions. Where required, assessments are carried out for substances that could be hazardous to health.
All chemicals must be correctly labelled and stored safely when not in use. Staff are trained in dilution, application and safe disposal. Personal protective equipment such as gloves or eye protection is provided when necessary and must be worn as directed. Clients will be informed on request about the products used in their premises.
Equipment, Tools and Personal Protective Equipment
Ruby Cleaners provides and maintains equipment that is fit for purpose, including vacuum cleaners, floor machines, mops, cloths and any specialist tools used for specific tasks. Equipment is inspected regularly and taken out of service immediately if found to be defective or unsafe.
Personal protective equipment is supplied in line with the risk assessment for each task. This may include gloves, masks, footwear and protective clothing. Employees must use the equipment provided, keep it in good condition and report any damage or loss without delay.
Training, Information and Supervision
All new employees receive an induction that covers the main hazards associated with cleaning work, our safety procedures and emergency arrangements. Additional task specific training is provided for activities such as floor machine operation, handling of chemicals or specialist cleaning services.
Training is refreshed periodically and whenever there are changes in techniques, products or equipment. Supervisors monitor working practices to ensure that training is applied correctly in day to day work and provide extra coaching where needed.
Manual Handling and Slips, Trips and Falls
Manual handling tasks, including moving equipment, waste bags and supplies, are assessed and controlled to reduce the risk of strains and other injuries. Staff are trained in safe lifting techniques and encouraged to use trolleys or team lifting wherever practical.
We pay particular attention to preventing slips, trips and falls. Wet floor areas are controlled using warning signs, trailing cables are avoided or secured, and walkways are kept as clear as possible during cleaning. Any hazards identified on a client site are reported and, where appropriate, remedial measures are discussed with the client.
Protection of Clients, Visitors and the Public
Our teams work with consideration for everyone present at the site. Where cleaning is carried out in occupied premises, we coordinate with clients to minimise disruption and manage risks, especially in busy areas and entry points. Warning signs are used when floors are wet, and equipment is positioned to prevent obstruction of access routes.
We respect client property and maintain confidentiality where sensitive information may be visible during cleaning. All staff are instructed to behave professionally and respectfully at all times.
Accidents, Incidents and Emergency Procedures
All accidents, near misses and dangerous occurrences must be reported promptly to a supervisor or manager, regardless of severity. Incidents are recorded, investigated and used to improve our procedures and prevent recurrence.
Employees are briefed on emergency arrangements at client premises, including fire evacuation routes and assembly points. Staff must follow site specific instructions and cooperate fully with client representatives and emergency services.
Employee Responsibilities and Consultation
Every employee of Ruby Cleaners has a duty to work safely, follow training and instructions, use protective equipment correctly and report hazards or concerns without delay. We encourage open communication about health and safety issues and will not tolerate any form of retaliation against staff who raise genuine concerns.
Where appropriate, employees will be consulted on changes that may affect their safety and given the opportunity to contribute ideas for improvement.
